Managing user permission with groups

Learn how to manage user permissions in Vansah Test Management for Jira

In Vansah, you can fine-tune access control by assigning Jira groups to specific Vansah functions within your Jira project. This allows you to restrict features like "Create Test Cases" or "View Test Case" to selected teams or roles in your organization.

Where to Find Group Permissions

Access Vansah Project Settings

  1. Navigate to your Jira project

  2. On the left-hand menu, click Vansah to open the Vansah panel.

  3. In the Vansah interface, click the gear icon (⚙️) located in the top-right corner.

  4. From the dropdown, click Project under Vansah Settings.

Assign Jira Groups to Vansah Permissions

  1. Once in Project Settings, select Permissions from the left-hand menu.

  2. You will see a list of available Vansah permissions like:

    • Manage Project Settings

    • View Issue Screen

    • Vansah Intelligence

    • Create/Edit Test Cases

  3. Under the Jira Group column, use the dropdown to select one or more groups for each permission

⚠️ Important: Once you assign a group to a Vansah permission, default Jira permissions are overridden, and only the selected groups will be allowed to perform that function.

Using Jira groups allows you to control which users in your organisation can access specific Vansah permissions for a Jira project. As soon as you assign one or more groups to a Vansah permission, it replaces the default Jira permissions for that function. This means only users in the selected Jira group(s) will be able to use that Vansah feature giving you more targeted control over project access.

Example

If you assign the Jira group UAT Testers and system-administrators to the View Test Case permission, only users in that group will be able to view test cases for your Jira project.

Managing Master Permissions Template

You can save your preferred permissions which should be applied to your Jira projects. This will ensure that any new Jira project with Vansah enabled will automatically inherit the permissions you have selected.

To update master permissions:

  • Go to any Jira project and access Vansah permissions for the project.

  • Configure Your Permissions (if needed)

    • Adjust the group access by using the dropdowns next to each permission (e.g., Manage Project Settings, View Test Case, etc.).

    • Use the “Choose Groups” dropdown to assign Jira groups for each permission.

  • Open More Options

    • In the top-right corner of the permissions list, click the three vertical dots (⋮) to open more options.

  • Click “Update Master Permissions”

    • From the dropdown menu, select “Update Master Permissions”.

    • Select Update to confirm: This action will save your current permission settings as the master template, which can be reused across other projects.

    • Note: New Jira projects will now automatically load the Master Vansah permissions template.

To Load Master permissions:

  • From the dropdown menu, click on “Load Master Permissions”.

  • This will overwrite your current project’s permission settings with the saved Master Permissions template.

Default Jira Permissions when no Group (s) selected

By default, Vansah relies on the Jira permissions listed in the "Default Jira Permissions" table below to determine whether a project user can perform specific Vansah functions. This means that, unless Jira group (s) have been selected, Vansah checks a user's access based on their existing Jira permission set shown below.
